TrackFlo Terminology reference

The words below are the ones that come up most in training and implementation calls, grouped by where they show up. When a term has an older name or a name your TMS uses differently, that's noted so you can find it by whichever word you use.
Loads and data
Load — a shipment tracked in TrackFlo. Depending on your TMS, you may also know it as a shipment (Turvo), an order number, a movement ID, a BOL, a PO, or a customer reference number. Load Search accepts any of these, and every "update a shipment" task in this help center is written as "update a load".
Leg — one portion of a load's journey. A multi-stop load can produce more than one leg, and assignment operates on legs.
Tracking Board Exclusion: company-level configuration deciding which loads appear on the workflow boards. An excluded load is still ingested and still found by Load Search; it never shows on a board. Older material calls these load filters.
Visibility Filter — configuration deciding which users can see which loads once those loads are in TrackFlo. Different from a Tracking Board Exclusion, and different again from assignment. Older material calls these visibility groups.
Data Ingestion Status — the screen showing how recently inbound data arrived from your TMS.
Service level — a designation that changes how a load is treated. Defaults include USPS, Standard, Reefer, No-Contact Carrier, Drop Trailer, and Power Only Loadout.
The board
Tracking board — the working screen where loads needing attention appear. Also called the Main Tracker Board.
Big Numbers — the tiles across the top of the board. The admin editor for them is the Big Numbers Layout.
Custom board — a saved, filtered view of the board. Also called Custom Tracking Boards.
Exception — a condition on a load that needs attention. Exceptions drive a load's color and are why it appears on the board.
Top Current Issue — the exception shown when a load has several at once. This replaced an earlier feature called Multiple Issues; if you still see that name anywhere, it means the same thing.
Managed — a load with a follow-up set. It has been dealt with for now and will come back when the follow-up is due. Managed is not the same as resolved.
Unassigned — a load with no tracking user responsible for it yet.
Private load page — the load's full page inside TrackFlo, as opposed to the public load page you can share with a customer.
Ownership
Assignment schedule — the shift-level configuration deciding who is tracking which loads and when. Teams often just say schedules or shifts.
Assignment filter — a reusable rule matching loads to users by field. Separate from Tracking Board Exclusions and from board filters.
Round robin assignment — what a schedule does when it has no filter: loads are spread evenly across the trackers on shift.
Filter hierarchy number — the priority on an assignment filter. Lower numbers win.
Shift objective — a target set on an assignment schedule.
Shift scorecard — performance measured against those targets.
Outreach
Outreach rule — automation that contacts a driver, dispatcher, or carrier. You may also see this called outbound automation, outreach automation, or AI outreach.
AI Voice — the automated phone calls outreach rules place to drivers.
Inbound Voice Agent — the line drivers can call back; older material calls it the Inbound Driver Call Line.
Stop condition — what ends an outreach sequence before it runs its full course.
Quiet hours — the window during which outreach won't contact someone.
Risk signal — a warning the AI detects in a driver's reply, such as a likely missed pickup or detention fees.
Documents
BOL — bill of lading, collected at pickup.
POD — proof of delivery, collected at delivery.
Detention — time a driver spends waiting beyond the allowed window at a stop, and the charge that may result. Dwell is the time at the stop regardless of whether it is billable.
Terms that mean different things in different systems
Status is the most common source of confusion, because status names come from your TMS rather than from TrackFlo. Covered in one TMS means booked in another. When talking to support, say which TMS you're using.
Check calls, activity log, load updates, timeline updates, and pinned updates all get used for overlapping ideas. In TrackFlo, an update is any new information recorded against a load, whatever its source.
